1. What This App Is

TrackMyTeam Desktop is a companion client for the TrackMyTeam WordPress plugin. It connects to a single WordPress site that YOU or YOUR organization owns, installs, and controls. Kodezen LLC does not operate a central server that receives, stores, or processes your data. Every install of TrackMyTeam runs on infrastructure chosen and administered by the organization using it (your employer, or you, if self-hosted).

Because of this, Kodezen LLC acts only as the software provider. The administrator of your organization’s WordPress site is the data controller for any personal data collected through the app, and is the right party to contact for access, correction, or deletion requests regarding your data.

Where the app is deployed within an organization, that organization is solely responsible for providing lawful notice to, and where required obtaining consent from, its employees and contractors before enabling screenshot capture, screen recording, or browser tab monitoring. Kodezen LLC does not determine whether monitoring is enabled, nor the scope or frequency of such monitoring.

2. Information the App Collects

When you sign in and use TrackMyTeam Desktop, the following categories of data may be collected and sent to the WordPress site you connect to (and only to that site):

  • Account information: username, name, and email address associated with your WordPress user account.
  • Device information: a device name/label (e.g. “Desktop – <hostname>”) used to identify your sessions across devices.
  • Work activity data: daily standups, tasks, goals/OKRs, time-tracking sessions, leave requests, and performance/feedback entries you or your team submit.
  • Screen activity: periodic screenshots, screen recordings, and active browser tab titles, where your organization has enabled this feature, for the purpose of activity/productivity tracking.

The app does not collect analytics, advertising identifiers, or usage telemetry, and it does not include any third-party analytics, ads, or tracking SDKs.

3. Where Your Data Is Sent and Stored

All data collected by the app is transmitted directly to the WordPress site URL you enter during sign-in, over an encrypted HTTPS connection (plain HTTP is only permitted for local development addresses such as localhost). The app does not send this data to Kodezen LLC or to any third party.

Data is stored in the WordPress database of that site, under the control of your organization’s administrator. Kodezen LLC has no access to this data unless your organization separately grants it (for example, to provide support).

4. Data Stored Locally on Your Device

  • Sign-in credentials: your authentication token, site address, and username are stored using your operating system’s secure credential store (Windows Credential Manager, macOS Keychain, or the Linux Secret Service). If your OS credential store is unavailable, the token is instead written to a configuration file that is restricted to your user account only.
  • Offline buffer: activity records, screenshots, and recordings are temporarily cached in a local database and local files on your device so that tracking can continue without an internet connection. This cached data is uploaded to your organization’s WordPress site once a connection is available, after which it is marked as synced. Signing out removes locally stored credentials from your device.

5. App Updates

The app checks your organization’s own WordPress site for newer signed versions of the desktop app. This update check is authenticated with your sign-in token and only ever contacts the WordPress site you are connected to — never a Kodezen-operated server. Downloaded updates are cryptographically signature-verified before installation.

6. Data Sharing

Kodezen LLC does not sell, rent, or share your personal data with third parties. Because the app communicates exclusively with the WordPress site your organization operates, any further sharing of your data is governed by that organization’s own policies and applicable law.

7. Your Choices and Rights

  • You can sign out of the app at any time, which removes your locally stored credentials from the device.
  • Screenshot/screen-recording tracking, if enabled, is configured by your organization’s administrator; contact them to ask about the settings that apply to you.
  • To request access to, correction of, or deletion of your personal data, contact the administrator of the WordPress site your organization uses for TrackMyTeam, as they control that data.

8. Children’s Privacy

TrackMyTeam Desktop is a workplace productivity tool intended for use by employees and contractors of an organization. It is not directed at children, and Kodezen LLC does not knowingly collect data from children.

9. Security

The app enforces HTTPS for all communication with your organization’s site (aside from local development addresses), stores sign-in tokens in your operating system’s native secure credential store where available, restricts any local fallback credential file to your user account, and verifies the digital signature of every downloaded update before installing it.

10. Changes to This Policy

If this policy changes, an updated version will be published at the same location it was obtained from (including the Microsoft Store listing for this app) with a revised “Last updated” date above.
